Getting Started

What is KoPay?

KoPay is invoicing software built for service businesses — contractors, tradespeople, field technicians, and small business owners who send invoices and collect card payments as part of what they do every day. It handles invoices, estimates, online payment collection, fee pass-through, customer management, and AI-powered invoice drafting, all in one place.

Is KoPay free?

Yes — KoPay is free during the early access beta. That includes unlimited invoices, estimates, customers, and full access to all features including AI drafting and Stripe payment collection. We'll announce paid plans before the beta ends and give early users first access to any launch pricing. No surprises.

How do I sign up?

Go to web.usekopay.app and create a free account with your email. You'll set up your business profile — company name, logo, and invoice settings — and you can start creating invoices immediately. No credit card required.

Do I need to connect Stripe to use KoPay?

No. You can create and send invoices without connecting Stripe. Stripe Connect is only required if you want customers to pay online by card directly from the invoice link. If you collect payment another way (cash, check, bank transfer), KoPay still handles all your invoicing and record-keeping.

Can I use KoPay on my phone?

Yes. KoPay is fully responsive and works on any phone or tablet browser. The AI invoice drafting even includes a microphone button so you can describe the job out loud and get line items generated hands-free — useful when you're on the job site.

Is there a mobile app?

A native iOS app is in development. The current web app works well on mobile browsers in the meantime, including invoice creation, customer lookup, and AI drafting with voice input.

Invoices & Estimates

How do I create an invoice?

Go to Invoices → New Invoice in the dashboard. Add a customer, line items, a due date, and any notes. You can save as a draft, or send immediately — KoPay emails the customer a link where they can view and pay the invoice online. You can also describe the job in plain English and let AI draft the line items for you.

What invoice statuses does KoPay use?

Invoices move through Draft (saved but not sent) → Sent (emailed to customer) → Paid (payment collected). They can also become Overdue (past the due date and unpaid), On Hold, Pending Parts, or Void (cancelled). Every status change is logged in the invoice timeline.

How do I send an invoice?

Open the invoice and click Send. KoPay emails the customer a link to a hosted payment page showing the invoice details, total, and a Pay Now button if Stripe is connected. You can resend at any time from the same invoice view.

Can customers sign estimates online?

Yes. When you send an estimate, the customer gets a link to a hosted page where they can read it, accept with a digital signature, or decline. Accepted estimates update automatically in your dashboard.

How do I convert an estimate to an invoice?

Open an accepted estimate and click Convert to Invoice. All line items, customer details, pricing, and any attached files carry over automatically. You can review and adjust before sending.

Can I attach files to invoices or estimates?

Yes. You can attach photos, PDFs, or other files to any invoice or estimate — useful for job site photos, signed contracts, or scope documents. Attachments are visible to customers on the payment page.

Can I customize my invoice number format?

Yes. In Business Settings you can set a custom prefix (e.g., INV-, JOB-) and a starting number. KoPay auto-increments from there so every invoice gets a unique sequential number.

Payments & Fees

How does fee pass-through work?

When you enable fee pass-through on an invoice, KoPay calculates the Stripe processing fee (2.9% + $0.30) and adds it to the customer's total. The customer pays the full amount — you receive your original invoice amount in full, minus only the KoPay platform fee of 0.59%. No more absorbing card processing costs.

Are there any states where fee pass-through is not allowed?

Credit card surcharging is currently not permitted in Connecticut and Massachusetts under state law. KoPay automatically exempts customers in those states from surcharges. For debit card transactions, pass-through is not applied regardless of state — debit interchange rules prohibit surcharging on debit.

What does KoPay charge?

KoPay charges a 0.59% platform fee on card-paid invoices. The Stripe processing fee (2.9% + $0.30) is separate and can be passed to the customer via fee pass-through. During the beta, the platform is free — no subscription or per-invoice fee.

How does Stripe Connect work with KoPay?

KoPay uses Stripe Connect so payments go directly into your Stripe account — not through KoPay first. You connect your existing Stripe account (or create one) and KoPay handles the invoice link and payment page. You control your Stripe payouts and settings separately.

When does money hit my account?

Stripe's standard payout schedule applies — typically 2 business days after a payment is made for US bank accounts. You can configure faster payouts directly in your Stripe dashboard. KoPay does not hold or delay funds.

Can customers pay with a bank transfer (ACH)?

Stripe's ACH payment support can be enabled through your Stripe account settings. KoPay's payment page will display the options Stripe has enabled for your account. ACH typically carries lower fees (0.8%, capped at $5) and no surcharging restrictions.

AI Invoice Drafting

How does AI invoice drafting work?

On the invoice creation page, there's a plain-text input where you can describe the job in plain English — for example, "replaced 3 bathroom faucets and fixed a slow drain under the kitchen sink." KoPay sends that description to an AI model along with your product catalog and pricing history, and returns structured line items ready to review. The whole thing takes about 2–4 seconds.

Can I dictate the job description with my voice?

Yes. There's a microphone button next to the text area that activates your device's speech recognition. Tap it, describe the job out loud, and the transcribed text fills in automatically. This is especially useful when you're wrapping up a job on-site and need to invoice quickly.

Will the AI make up services or prices I don't offer?

No — it's designed not to. KoPay sends your active inventory catalog to the AI as context first. When a line item matches something in your catalog, it uses that item's exact ID, name, and price. For items that aren't in your catalog, it draws from your invoice history to match descriptions and pricing you've actually used before. Only when nothing fits does it estimate a new item.

Does the AI learn my business over time?

Yes. KoPay builds a business profile from your invoice history and refreshes it automatically as you create more invoices. Over time the AI understands what type of work you do, how you describe services, and what your typical pricing looks like — so drafts get more accurate the more you use it.

Does KoPay use my invoice data to train AI models?

No. Your invoice data is used only to generate drafts for your own business. It is not shared with other users or used to train AI models. See our Privacy Policy for full details.

Team & Customers

Can I invite team members?

Yes. Under Business Settings → Team, you can invite team members by email and assign them a role: Owner, Admin, Member, or Viewer. Each role has different permissions — Viewers can see invoices but can't create or edit them, for example. Role permissions are configurable per business.

How many team members can I add?

During the beta there's no hard limit on team members. We'll publish any limits before paid plans launch.

Can one customer have multiple contacts or locations?

Yes. KoPay supports parent/child customer relationships. You can create a parent account (e.g., Acme Construction) and link individual contacts to it with department and job title info. This works for businesses with multiple departments, project managers, or for situations like an apartment complex where each unit is a separate customer sharing the same address.

Can I tag customers?

Yes. You can create custom color-coded tags and apply them to any customer — useful for grouping by type (residential vs commercial), priority, or any category that makes sense for your business. Tags are filterable from the customers list.

Can customers be marked as tax-exempt?

Yes. Each customer record has a tax-exempt toggle. When enabled, tax is not applied to any invoice or estimate created for that customer, regardless of your default tax settings.

Security & Data

Does KoPay store my customers' card numbers?

No. KoPay never sees or stores card data. All payment processing is handled entirely by Stripe, which is a PCI DSS Level 1 certified payment processor — the highest level of payment security certification. Card details go directly to Stripe's servers, not through KoPay.

Where is my business data stored?

KoPay uses Supabase (built on PostgreSQL) hosted on AWS infrastructure in the United States. Your data is encrypted at rest and in transit. We do not sell or share your business data with third parties.

What happens to my data if I stop using KoPay?

Your data remains in your account as long as you have an account. You can export your invoice history at any time. We'll give clear notice before any data retention policy changes as part of a future paid plan transition.

How is my account secured?

KoPay uses Supabase Auth for authentication, which supports secure password hashing and session management. We recommend using a strong unique password. Email-based login links are available as a passwordless option. All connections use HTTPS.

Where can I read your privacy policy and terms?

Both are publicly available: Privacy Policy and Terms of Service. Fee pass-through compliance is the user's responsibility — see the Terms for details on state-specific surcharging rules.
